Our new voice over IP (VOIP) phone system project

Update, October 7, 2008

Our new phone system project will be completed and ready for use on the dates outlined below:

  • New phones will be distributed starting October 13th, 2008. This will take some time to distribute throughout the entire district.
  • Rocklin and NCC will start using the new phones October 18th, 2008.
  • RG will cutover the evening of October 21st, 2008 and use the new phones starting on October 22nd, 2008.
  • The tentative Truckee cutover date is Oct 24th, 2008.
  • Part-time faculty will for the most part keep their same number and access it the same way with further information to follow closer to cutover to the new system

During the cutover to the new phone system (October 18th through October 24nd) 4-digit dialing between campuses will not be available. To reach someone at another campus during this period you will need to dial the 9 + the 7-digit number.   Remember that NCC and Truckee are area code 530 while Rocklin and RG are area code 916.

As part of the implementation of the new phone system numbers for Rocklin locations will change to the new 660-xxxx numbers.    The change to the new DID numbers at Rocklin has also impacted certain on-campus extension assignments.   More information on these changes will be forthcoming.   Phone numbers at NCC and RG will not change.

If your number is changing you will need to change your outgoing message on your old phone to announce your new number to callers. This will be the only referral to your new number.

To leave a personal referral message on your old number see the instructions below, go to the IIT web page, or the IIT public folders. Instructions for changing your personal greeting are as follows:

  • Dial 2686 from your extension.  After cutover dial 789-2686
  • If you are calling from your own extension enter #. Dial password then hit enter or #.
  • To change answering options press 8. 
  • To change your greetings press 1.
  • To change your regular greeting press 1.
  • To change the greeting when no one answers your phone press 1.
  • Record a new greeting press 1.
  • After recording you may listen to your new greeting by pressing 7 then 3.
  • Call the old number from any phone and listen to the message.

The Helpdesk can provide assistance in leaving a message.   Additionally:

At RG and NCC we will replace the old Rolm phone with the new Avaya phone during the cutover to the new system.   On the Rocklin campus, if you feel you need to continue to use the old phone, it can remain on your desk and be used in parallel with the new phone until you are ready to switch.   If you do decide to keep the old phone, please keep the following limitations in mind:

  • 4-digit dialing will not work
  • The main campus number will not be able to transfer to you phone
  • You will not be able to transfer calls to the new phones
  • Phone mail on the old system play your outgoing message and will not accept new voicemail messages.
  • Please contact the Helpdesk (helpdesk@sierracollege.edu ) if you wish to keep your old phone.

We highly recommend that you allow us to remove the old phone during the cutover period so you can use the features of the new system, especially 4 digit dialing between other users and sites.   The switch to the new phone will need to be completed by 1 December 2008.

Voice Mail will be available on the new system from the start. Further info is as follows:

  • The old phone system will not accept new voice mail messages after the cutover dates of October 13-22.
  • Voice mail messages on the old system can be listened to until the PBX is taken out of service (1 January, 2009)
  • Messages on the old phone mail system cannot be moved to the new system.
  • The voice mail access number on the new system will be (916) 660-7788 or x7788 from on campus or using the “voicemail” button on the phone.
  • You can continue to access messages on the old system at (916) 789-2686 from any phone until the PBX is shutdown.

The new Avaya phones are currently being tested in IIT.  We will expand pilot testing to other phone users on the Rocklin campus starting later this month. If you wish to participate please send an email to the Helpdesk at helpdesk@sierracollege.edu.
